Modernizing Enterprise UX at Scale
iPromoteU partnered with Volo Digital on a multi-year initiative to head up their product design and modernize their 20+ year-old enterprise platform—an essential tool for over 1,100 independent promotional product distributors.

Project Overview

Goal: Replace aging infrastructure with a scalable SaaS solution that preserved critical workflows while introducing modern functionality to drive the company’s next decade of growth.

The original platform lacked usability, key functionality, and a clear product vision. With no centralized understanding of workflows and no prior investment in UX or UI design, we began by running collaborative innovation workshops to map pain points and identify opportunities for reinvention. We modernized the platform module by module—starting with a customer payment portal and advancing into the complex project and job management systems. The platform serves as a four-sided marketplace, connecting affiliates, manufacturers, decorators, and end customers through a unified financial and operational ecosystem.
Discovery and Definition
We led a series of hands-on workshops using interactive dashboard UI kits and collaborative exercises to help stakeholders visualize a modern platform. These sessions shaped critical user journeys and laid the foundation for a design system that supported complex workflows with clarity and simplicity.

Process

The scale and complexity of iSUITE demanded a highly structured, modular approach to design. This wasn’t just an order management system—it was the operational core of a four-sided marketplace where every transaction involved a web of affiliates, manufacturers, decorators, and customers.

A single job could include multiple products from different manufacturers, routed to separate decorators for customization, and shipped to dozens of unique destinations—all with varied branding requirements, quantities, sizes, and pricing structures. Affiliates needed to manage everything from simple logo placements to highly customized product configurations, while tracking critical dates and dependencies to ensure on-time delivery to locations as varied as trade show loading docks or nationwide retail chains.

Achievements
Streamlined the project and job management experience, improving order efficiency and increased satisfaction across the affiliate network. Implemented the company’s first design management system, increasing product development velocity by 37%.
